| Overview

User Management in the Facilisight Portal is a centralized feature for managing user accounts, roles, and access permissions across an organization. It enables administrators to create and maintain users, assign roles, monitor certification status, and ensure users have the appropriate access to facilities and system resources. The streamlined interface simplifies user administration while helping organizations maintain security, compliance, and operational efficiency.

| Purpose of User Management

  • Manage user accounts across organizations and sites from a centralized interface.
  • Assign and manage user roles such as Primary Billing Admin, Primary Manager, Secondary Manager, Primary Installer, Secondary Installer, and Occupant.
  • Control user access and permissions based on assigned roles and responsibilities.
  • Maintain user details, including name, email address, country, phone number, and certification level.
  • Search and locate users quickly using First Name, Last Name, or Email.

| Access User Management

To access User management:

  • Log in to the Facilisight Portal.
  • Navigate to the top-right corner of the page and hover over the 9-dot menu to view the available portal options.
  • From the menu, select User Management.
  • The User Management page opens, displaying organizations, sites, user roles, and user account details.
Note: The currently logged-in user's name is highlighted in orange within the user list, making it easy to identify the active user account.
 

| How to Add User

Add User is a feature in the User Management page that allows administrators to create a new user account and grant access to a specific organization or site.
 
To access Add User:
  • Click Add User + within the desired building or site to create a new user account for that location.
  • The Add User page opens, displaying sections for entering the user's personal details, assigning a role, and configuring user preferences such as language and unit settings.
  • Enter all required user details, including Email, First Name, Last Name, and Role. The User Preferences section is automatically populated with default units, which can be updated as needed before clicking Add User to create the user account.
  • If the logged-in user has both the Primary Facility Manager and Primary Billing Admin roles, all eligible roles are available in the Role drop-down list for assignment to a new user.
  • When the Secondary Installer role is selected for a new user, the Certification Level defaults to Non-Certified. To assign or update a certification level (such as L1 Certified, L2 Certified, or L1 Certified Integrator), an administrator must update the user's certification status through the Internal Portal.

Note: The roles available in the Select Role field vary depending on the role and permissions of the user accessing the User Management page.

The table below provides an overview of the user types, roles, and corresponding permissions available within the Facilisight Portal. It identifies the roles that can be assigned and the level of access granted to each user type.
Role Rules for Adding User Types and Roles that Can Be Created. Role Description
View Only Facility Manager Cannot add /edit/ delete any user Able to just visualize the data in the Facilisight, will not be able to make any edits to the building aspects.
 
Primary Facility Manager
  • There can be only one Primary facility manager per site.
  • Responsible for site user management.
  • Added during the first CCU registration for the site.
  • Can add/edit/delete Secondary Facility Managers, View Only Facility Managers, Secondary Installers, Secondary Billing Admin and Occupants for the buildings.

    Note: An organization is created during the CCU registration process. After the organization is created, Organization Managers can be assigned to manage users, roles, and access permissions within the organization.
     

Manages a particular building or more than one building, has permissions like:

  • Visualize building information in a Heatmap
  • Create and use heatmap filters
  • Setting schedules
  • Modifying desired temperatures
  • Altering the tuner values
  • Altering the floor plan
  • Rearranging a floor plan setting
  • Visualizing historized points data in Site Explorer
  • Mute and unmute alert notification
  • Create dashboards of widgets for corresponding buildings
  • Alter the conditioning modes for the system profiles.
     
Secondary Facility Manager
  • Cannot add another secondary Facility Manager or a Primary Facility Manager and Secondary Biling Admin.
  • Added post the site creation.
  • Can add/edit/delete Occupants, Secondary Installers & View Only Facility Managers for the buildings.

Secondary Facility Managers also Manages a particular building or more than one building, has permissions like: 

  • Visualize building information in a Heatmap
  • Create and use heatmap filters
  • Setting schedules
  • Modifying desired temperatures
  • Altering the tuner values
  • Altering the floor plan
  • Rearranging a floor plan setting
  • Visualizing historized points data in Site Explorer
  • Mute and unmute alert notification
  • Create dashboards of widgets for corresponding buildings
  • Alter the conditioning modes for the system profiles
     
Secondary Installer
  • Can add new users with the Secondary Installer role. 
  • Can delete both Secondary Installer users (Regardless of certification level) and Occupant users.

Added by Support Managers. The access available to a Secondary Installer varies based on the user's certification level (L0, L1, L2, or L1 Certified Integrator).

  • L0 (Non-Certified): This user has limited, view-only access to the Facilisight Portal because they are not certified.
  • L1 Certified: This user has access similar to that of a Facility Manager and holds an L1 certification.
  • L2 Certified: This user has all the permissions available to an L1 Certified Installer, along with access to additional pages and features. The user holds an L2 certification.
  • L1 Certified Integrator: This user has extensive read and write access across the platform, similar to a Support user, and is designated as a Certified Integrator. The user holds an L1 Certified Integrator certification.
     
Secondary Biling Admin
  • Can add other Secondary Biling Admin. 
  • Can delete Secondary Biling Admin users (Regardless of certification level).
Provides limited access to billing-related and informational pages, such as Account Details, Subscription, About, and Help in the Facilisight Portal.
Occupants Cannot add /edit/ delete any user
Users assigned to one or more zones in a site. Using the Occupant app, they can adjust the desired temperature and configure vacation settings for the zones to which they have access.

 

| Role & Certification Precedence Rules

When a user is assigned different roles across multiple sites, the role assignment is maintained independently for each site. For example, if a user is assigned the Primary Facility Manager (PFM) role for one site and the View Only Facility Manager (VoFM) role for another site, the assigned role remains unchanged for each respective site. The user will continue to have PFM permissions on the first site and VoFM permissions on the second site.
 

Certification levels, however, are applied at the user level and are not site-specific. For example, if a user is assigned an L1 Certified Installer certification, that certification applies across all sites to which the user has access. Regardless of the role assigned on individual sites, the user's certification level remains consistent across all sites.

Example:

  • Site A: Primary Facility Manager (PFM)
  • Site B: View Only Facility Manager (VoFM)
  • Certification: L1 Certified Installer

In this scenario, the user retains the PFM role on Site A and the VoFM role on Site B, while the L1 certification applies across both sites.

| User Preference Setting

To accommodate global usage, the 75F system allows users to select their preferred units of measurement, which are used to display data consistently across the portals and applications.

| Language Preference

  • Click the Language Preference drop-down list and select your preferred language.

  • Click Add + to confirm the changes.

Note: The language translation feature does not apply to site names, floor names, zone names, CCU names, point names, or tags. These values are displayed in their original configured names.
